What's included
An academic year is planned twice: once in the spring before it starts, and once again week by week while it runs. The template shows both, with the planning phases sitting before day one of term:
- Curriculum & timetable — Curriculum model and option blocks, subject allocation, timetable build and validation, room and resource allocation. Milestone: timetable published.
- Staffing & contracts — Establishment review, resignations and recruitment rounds, contracts issued, cover and supply arrangements, induction of new staff.
- Admissions & enrolment — Open evenings, application window, offers and appeals, enrolment and results-day enrolment, transition days for new intakes. Milestone: roll confirmed.
- Term dates & calendar — Term and holiday dates, INSET days, the published calendar of events, and the parent-facing communication of all of it.
- Assessment & exams — Internal assessment points, mock exams, external exam entries and deadlines, the public exam series, invigilation and access arrangements, results days. Milestone: results day.
- Reporting & parents — Data collection windows, report writing and publication, parents' evenings, and target setting for the following year.
- Inspection & governance — Self-evaluation, governor meeting cycle, inspection readiness, safeguarding audit and policy review dates.
- Budget cycle — Funding allocation, budget build and approval, in-year monitoring, and the year-end return.
How to customize it
- Set day zero at the start of your spring planning term, not the start of the academic year — most of the decisions are made before September.
- Replace the exam windows with your own awarding body dates; those are fixed externally and everything around them negotiates.
- Add a row per key stage or year group where assessment and reporting cycles differ.
- Insert your governor meeting dates as milestones — they are the approval gates for budget and policy.
- Extend the admissions phase if you run a selective or oversubscribed process with an appeals season.
- Mark INSET days explicitly so training is planned into the calendar rather than squeezed around it.
Scheduling tips
- Put the resignation deadline on the chart. It is the hard date that separates a timetable you can build from one you will rebuild in August.
- Protect the data collection windows. Reports depend on assessment data landing on time; a slipped collection point moves the parents' evening, not just the spreadsheet.
- Book exam invigilation early. Invigilator recruitment and access arrangement assessments both have lead times and both gate the exam series.
- Schedule open evenings against the application deadline. An open evening after the deadline is a marketing event, not a recruitment one.
- Keep the budget cycle visible. Staffing decisions made without the budget position in view are the most expensive mistakes a school makes.
- Plan the following year in this year's summer term. Everything on this chart before September belongs to the year that is still running.
